Executive Assistant

We are looking for a dependable and detail-oriented Executive Assistant to provide high-level administrative support to executives and leadership teams.

This role involves managing calendars, coordinating meetings, handling correspondence, and keeping operations running smoothly behind the scenes. Ideal for someone who is organized, responsive, and confident in managing confidential information in a fast-paced, remote environment.

Most roles require availability during U.S. working hours, with some flexibility depending on the client.

All roles are five days a week, but days off may vary. While some roles follow a Monday to Friday schedule, others may include shifts on weekends. Weekend rest days are not guaranteed unless specified by the client.

  • Requirements​​
  • At least 1–2 years of experience as an executive assistant, personal assistant, or in a similar administrative support role
  • Strong organizational skills and the ability to manage calendars, schedules, and priorities independently
  • Excellent verbal and written communication skills in English
  • Experience with tools such as Google Workspace, Microsoft Office, Zoom, and task management platforms (e.g. ClickUp, Asana, Notion)
  • Ability to handle confidential information with discretion and professionalism
  • Strong attention to detail, especially when preparing documents or managing logistics
  • Proactive, resourceful, and able to anticipate needs before they arise
  • Key Responsibilities​​
Scope of work may vary depending on client needs. Tasks may include, but are not limited to, the following:
  • Manage calendars, schedule meetings, and coordinate across multiple time zones
  • Prepare agendas, take meeting notes, and track action items for follow-up
  • Organize inboxes, sort and respond to emails, and flag important messages
  • Coordinate travel arrangements, bookings, and itineraries when needed
  • Draft or proofread reports, internal documents, and presentations
  • Maintain digital filing systems and organize internal documentation
  • Assist with research, data entry, and light project coordination
  • Communicate clearly with internal teams or external contacts on behalf of the executive
  • Monitor deadlines and support daily task prioritization
